This policy explains how CloudKonnect Pty Ltd (ACN 085 125 033, ABN 87 085 125 033) ("we", "us", "our") collects, uses, stores and shares personal information when you use cloudkonnect.com, contact us, or become a client. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

This policy covers our website and our services. Our website links to other sites (for example our booking page, community and social channels). Their own privacy policies apply when you use them.

1. What we collect

1. Information you give us: your name, business name, email, phone number and anything else you include when you fill in a form, book a call, email or phone us, or ask for support.
2. Client information: if you become a client, the details we need to deliver and bill our services, such as contacts, billing details, the subscriptions and licences we manage for you, and support history.
3. Website usage information: collected automatically through cookies and similar tools (see section 4), such as pages visited, device and browser type, approximate location and how you arrived at the site.

We only collect personal information that you give us or that is collected through the tools described here. You can contact us without giving your name, but we may not be able to help you fully.

2. How we use it

1. To reply to enquiries and book calls.
2. To deliver our services: IT support, systems and AI consulting, and subscription management.
3. To bill you and manage your account.
4. To send you emails about our services, events and resources. Every marketing email has an unsubscribe link, and you can also ask us to stop at any time.
5. To understand how the website is used so we can improve it.

To do this we keep your details together in our CRM. That means information from forms, emails, calls, website visits and your client account may be linked to your contact record. We don't sell your personal information.

3. Who we share it with

We use trusted service providers to run the business. They only receive what they need to do their job for us:

1. HubSpot: our CRM, website forms, meeting bookings, email marketing and support help desk (including requests to help@cloudkonnect.com).
2. Chargebee: client subscriptions and invoicing.
3. Stripe (card payments) and GoCardless (direct debit): payment processing. Your full card or bank details are held by these processors, not by us.
4. Xero: our accounting.
5. subscriptionHUB: our client portal, which shows the subscriptions you hold with us.
6. Service delivery tools: to deliver services we may access or manage your systems and data through tools such as Google Workspace, Microsoft 365, remote monitoring and management, endpoint protection and backup tools (for example Kaseya, Datto and Backupify). We only access what is needed to deliver the service you've asked for.
7. Website providers: Cloudflare (hosting and security), Google Analytics (website statistics) and Google Fonts (fonts).

We may also disclose information where the law requires it. If part or all of our business is merged, restructured or sold, personal information may be transferred as part of that.

4. Cookies and tracking

Cookies are small files stored by your browser. Our website uses:

1. Google Analytics 4 (measurement ID G-RWHKS983YS), loaded with the Google tag. It uses cookies to count visits and show us how the site is used.
2. HubSpot tracking code. It uses cookies to recognise returning visitors, link website visits to a contact record once you've filled in a form, and run HubSpot features on the site. Depending on our HubSpot settings these can include chat, pop-up forms, a cookie banner and ad measurement.
3. HubSpot forms on our contact and guide pages. What you type is sent to HubSpot.
4. Cloudflare, which hosts the site and may set cookies needed for security and performance.

You can manage cookies by:

1. blocking or deleting cookies in your browser settings (the site still works, but some features such as forms or chat may not);
2. installing the Google Analytics opt-out browser add-on;
3. using the cookie settings in HubSpot's banner, if it's shown.

5. Overseas storage and disclosure

Several of our providers, including HubSpot, Google, Microsoft, Chargebee, Stripe, GoCardless, Xero and Cloudflare, are based overseas or store data overseas, mainly in the United States and in other countries where they operate. This means your personal information may be stored or accessed outside Australia. We choose established providers and take reasonable steps, as required by APP 8, to make sure they handle personal information consistently with the APPs.

6. How we keep it secure

1. We take reasonable physical, technical and administrative steps to protect personal information from misuse, loss and unauthorised access, change or disclosure.
2. No system that sends or stores information over the internet is completely secure, so we can't guarantee the security of information you send us.

7. Access and correction

You can ask to see the personal information we hold about you, or ask us to correct it. Email info@cloudkonnect.com. We may need to confirm your identity first. If we can't give you access or make a correction, we'll tell you why.

8. Complaints

1. If you have a concern about how we've handled your personal information, contact us first using the details below. Tell us what happened and what you'd like us to do.
2. We'll look into it and respond within 30 days.
3. If you're not happy with our response, you can complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

9. Changes to this policy

We may update this policy from time to time. The "Last updated" date at the top shows when it last changed. Changes apply from that date.
